Reversed Deposit Refunds and Applications

SIRE automatically recognizes when a Deposit Refund or Deposit Application has been reversed in Sage Intacct and restores the available deposit balance.

This allows users to refund or apply the deposit again without manually updating the deposit record.


How It Works

When a deposit transaction is processed in SIRE:

  • A Deposit Refund creates an AP Bill in Sage Intacct.

  • A Deposit Application creates an AR Adjustment in Sage Intacct.

If the related AP Bill or AR Adjustment is later reversed in Sage Intacct, SIRE detects the reversal the next time the Deposits list is loaded or refreshed.


What Happens After a Reversal

When SIRE detects that the related accounting document has been reversed:

  • The Refunded/Applied Amount is reduced by the reversed base deposit amount.

  • The Refundable Amount is recalculated automatically.

  • The Refund or Apply action becomes available again when there is an available balance.

  • The original refund or application record remains available for audit purposes.

  • No manual database update is required.

This behavior applies to:

  • Deposit Refunds

  • Deposit Refunds with Interest

  • Deposit Applications

  • Deposit Applications with Interest

When interest is included, only the base deposit amount is removed from the refunded or applied balance. Interest is not included in the deposit balance calculation.


When Are Deposits Updated?

SIRE evaluates the status of the related Sage Intacct documents whenever the Deposits list is loaded or refreshed.

Only active, non-reversed AP Bills and AR Adjustments contribute to the Refunded/Applied Amount.

As a result:

  • The Deposits list reflects the recalculated refunded or applied balance.

  • The Refund and Apply dialogs display the recalculated Refundable Amount.

  • Available actions are enabled or disabled based on the updated balance.


Example

A tenant has a security deposit of $2,000.

  • A refund of $2,000 is processed in SIRE.

  • SIRE creates an AP Bill in Sage Intacct.

  • The AP Bill is later reversed in Sage Intacct.

  • The Deposits list is opened or refreshed.

  • The Refunded Amount returns to $0.00.

  • The Refundable Amount returns to $2,000.00.

  • The deposit can be refunded again.


Important Notes

  • Reversals must be performed in the Sage Intacct Accounts Payable or Accounts Receivable modules.

  • SIRE detects the updated document status when deposit data is loaded or refreshed.

  • Historical refund and application records are retained for audit purposes.

  • Deposit Transfers are not affected by this feature. If a transfer is reversed, the associated deposit balances are not automatically reconciled.

Can I Refund Or Apply The Deposit Again After A Reversal?

Yes. Once the reversal is detected and an available balance exists, the Refund or Apply action becomes available again.

Is Interest Restored To The Deposit Balance?

No. When a refund or application includes interest, only the base deposit amount affects the deposit balance. Interest is excluded from the refunded or applied amount.

Are Reversed Transactions Deleted?

No. The original refund or application records remain available for audit purposes. SIRE only recalculates the available deposit balance.

Do Deposit Transfers Support Automatic Reconciliation After A Reversal?

No. Deposit Transfers are not included in this reversal reconciliation behavior.
