Overview
The Tenant Ledger provides a detailed view of tenant charges, payments, applications, and balances for a selected period.
Accessing Tenant Ledger
From the main menu, go to:
Reports > Tenant Ledger
Processing Details
Complete the processing details before generating the ledger.
From Date
Enter the first date of the reporting period.
To Date
Enter the last date of the reporting period.
Based On
Select the date basis used for invoice transactions:

Transaction Date
-
GL Posting Date
For invoice transactions, the selected option determines whether the invoice transaction date or general ledger posting date is compared with the report dates.
Include Terminated Leases
Enable this option to include leases that have been terminated.
Filters
Use the following filters to narrow the report:
Property
Select a property to limit the results.
Lease
Select a lease associated with the selected property.
From Tenant
Select the first tenant in the tenant range.
To Tenant
Select the last tenant in the tenant range.
You can also search the tenant list by tenant ID, tenant name, or lease name.
Select Tenants
After completing Processing Details and Filters, select at least one tenant. The ledger cannot be generated until at least one tenant has been selected.
You can select individual tenants or select all tenants shown in the filtered list.
Transaction Inclusion
The To Date is used as the upper limit for transactions included in the ledger.
The From Date defines the beginning of the displayed reporting period:

Transactions before the From Date are used to calculate the beginning balance.

Activity is displayed from the From Date through the To Date.

Monthly balances are calculated from the beginning balance and the charges, payments, and applications recorded during each month.

Invoice transactions use the selected Based On date.

Other transaction types use their corresponding transaction, receipt, or posting dates.
Process The Report
Select Process Ledger to generate the tenant ledger.
Report generation is processed asynchronously. When the report is ready, open the notification and select View Details.

Monthly, lease, and tenant subtotals are displayed when applicable.
Export The Report
From the Tenant Ledger preview, select the required export format:

Excel

PDF
Excel exports organize each property into a separate worksheet. PDF exports begin each property on a new page.
Negative amounts are displayed in parentheses.
Frequently Asked Questions
What Is The Difference Between Transaction Date And GL Posting Date?
Transaction Date uses the invoice transaction date, while GL Posting Date uses the date the invoice was posted to the general ledger.
Can I Include Terminated Leases?
Yes. Enable Include Terminated Leases before generating the report.
Do I Need To Select A Tenant?
Yes. At least one tenant must be selected after completing the processing details and filters.
Why Are Transactions Before The From Date Reflected In The Report?
Transactions before the From Date are used to calculate the beginning balance for the reporting period.
Why Is My Report Not Available Immediately?
Tenant Ledger generation is asynchronous. Open the notification when the report is ready.
Can I Export The Tenant Ledger?
Yes. The preview can be exported to Excel or PDF.
