Escalations Setup


1. Prerequisites for Running Escalations

Before the platform can successfully run an escalation for a lease, the following conditions must be met:

1. Required Escalation Configuration on Recurring Charges Recovery Settings

Each recurring charge included in the escalation must have all escalation-related recovery control fields populated, The Escalation Setup section is located below the Administration Fee setup within the Recovery Template:

  • Expense categories To configure escalations, the user must:

    • Enter a Percent Increase.

    • Select a Rounding Method.

The fields Basis, Basis Calculation Method, and Calculation Method are currently not editable.

Basis and Budget Selection

  • The default Basis is set to Budget, as escalations are calculated using a budget.

  • On the Escalations task screen, you can select the budget to be used (imported from Intacct) from a dropdown menu.

The expense categories used in Reconciliation will also be used for Escalations.

Escalation Configuration Details

Percent Increase

This field defines the percentage by which the recurring charges will be increased. The new amount is calculated based on the previous charge.

Rounding Method

Choose how the updated charge amount should be rounded:

  • No Rounding:
    The new amount will include all decimal values without any rounding.

  • Nearest Dollar:
    Rounds the result to the nearest whole dollar.

    • Example:

      • $1.79 → $2

      • $1.49 → $1

  • Nearest Five Dollars:
    Rounds the result to the nearest multiple of 5.

    • Example:

      • $13 → $15

      • $22 → $20

✅ Additionally, the Lease Move-In Date must be present.
⚠️ If any of these values are missing, the system will skip the escalation for that charge.


2. Company Validation for Recurring Charges

  • All recurring charge IDs submitted for escalation must:

    • Belong to the same company that is requesting the escalation.

  • The system will validate ownership before processing.

  • If any recurring charge does not belong to the active company, escalation will not proceed for that charge.
