The Move Property feature allows users to move an existing property to a new entity while preserving the property structure, units, leases, and related information.
Instead of updating the existing property record, SIRE creates a new property and duplicates the related records under the new entity. Once the move is completed, the original property, units, and leases are retired.
This feature is commonly used when a property must be transferred to a different ownership entity or accounting structure.
Accessing the Move Property Feature
In SIRE, navigate to Setup → Properties. From the Properties list, locate the property you want to move and click the 3-dot Actions menu. Select Move Property.
The Move Property option is only available for Active properties and users with the appropriate permissions.
Move Property Window
When the Move Property window opens, the following information for the selected property is automatically displayed:
Current Property Information
Property ID: The Location ID of the selected property.
Property Name: The name of the selected property.
Entity: The entity currently associated with the property.
This information is read-only and provided for confirmation purposes.
Required Fields
The following fields must be completed to create the new property structure.
New Property ID: Enter the new Property/Location ID to be created.
Important notes:
-
The Property ID must be unique and cannot match an existing Location ID.
-
The new Property ID is used to generate the new Unit IDs.
-
Invalid characters are not allowed.
New Property Name: Enter the new Property Name.
Important notes:
-
The Property Name must be unique and cannot match an existing property/location name.
New Entity: Select the entity where the property will be moved. The dropdown displays all Active Entities available in Intacct.
Name Sequence: Enter a sequence of up to 4 alphanumeric characters. This sequence is used as a prefix for the new Unit and Lease names to prevent duplicate names in Intacct.
For example, if the Name Sequence is set to TRF and the original unit and lease names were Unit 101 and Lease 5001, the new autogenerated unit and lease names will be TRF-Unit 101 and TRF-Lease 5001.
Processing the Move
After completing all required fields, click Move Property. A confirmation message will appear indicating the process has started. The move runs as a background process and may take several minutes depending on the number of units and leases associated with the property.
The Move Property process performs the following actions automatically:
-
Create the new property: the process creates the new property in SIRE and Intacct, using the new property ID and name, and the new entity. The rest of the information is copied from the existing property.
-
Create the new unit/s: the process creates duplicated units under the new property in SIRE (Active) and Intacct (Active non-posting). The new units use the new Property ID as part of the Unit ID, and the Name Sequence + the old unit name as the new Unit Name.
-
Create the new lease/s: the process creates duplicated leases associated with the new property. The new leases retain the same tenants as the existing ones, but are linked to the newly created units, and include the Name Sequence + the old lease name as the new Lease Name. Related lease information, including charges, deposits, and renewal offers, among others, is also transferred to the new lease.
-
Inactivate original records: once the new property structure is successfully created:
-
The original property is set to Inactive in Intacct and SIRE.
-
The original unit/s are set to Inactive in Intacct and SIRE.
-
Current and Future leases on the original property are:
-
Set to Terminated status.
-
Assigned the termination reason: Transfer.
-
Updated with the Lease Termination Date equal to the current date.
-
-
Completion Notification
When the process finishes, SIRE displays a notification.
Successful Move
Example:
“Property (Old Property Name) was successfully moved to (New Property Name).”
Failed Move
Example:
“There was an error moving the property (Old Property Name).”
If the move fails, the notification will include additional error details, and the system will attempt a rollback to any changes that could have been made before the error occurred.
