Sales Entry

Overview

Use Sales Entry to record sales information for a tenant lease. Sales entries are used when processing Percentage Rent. During Percentage Rent processing, SIRE includes entries whose Sales Date falls within the calculation period and whose Sales Type matches the sales type configured for the lease.


Accessing Sales Entry

From the main menu, go to Tasks > Percentage Rent > Sales Entry.

The Sales Entry list displays:

  • Property Name

  • Unit Name

  • Lease Name

  • Tenant Name

  • Transaction Date

  • Transaction Type

  • Sales Type

  • Sales Category

  • Sales Volume

Sales Volume is displayed as a currency amount.


Creating A Sales Entry

From the Sales Entry list, select Create.

Property

Select the Property Name. This determines the properties available when selecting the lease.

Sales Entry Details

Complete the sales entry information:

  • Lease Name: Select the current lease associated with the sales entry. The list is limited to current leases for the selected property.

  • Unit Name: Select a unit associated with the selected lease.

  • Tenant Name: Select a tenant associated with the selected lease.

  • Transaction Date: Enter the date of the transaction.

  • Transaction Type: Select the period represented by the transaction:

    • Month Sales

    • Calendar Year Sales

    • Tenant Year Sales

  • Sales Type: Select the classification of the sales information:

    • Budgeted

    • Estimated

    • Reported

    • Actual

    • Audited

  • Sales Date: Enter the date associated with the sales amount. SIRE uses this date to determine whether the entry falls within the Percentage Rent calculation period.

  • Sales Category: This field is set to Total and cannot be changed.

  • Report Date: Enter the date associated with the sales report.

  • Sales Volume: Enter the sales amount. The value must be zero or greater.

Select Save to create the sales entry.


Editing Or Reviewing A Sales Entry

From the Sales Entry list:

  • Use the row actions to edit an existing entry.

  • Open an entry in view mode to review its details without editing them.

  • Use the duplicate action from an existing entry to copy its information into a new entry. The copied entry is created as a new record after it is saved.

  • Use the delete action to remove an entry.

When selecting a different property while creating or editing an entry, the lease, unit, and tenant selections are cleared. Selecting a different lease refreshes the available units and tenants.


Percentage Rent Processing

SIRE uses Sales Entry records as sales data when processing Percentage Rent. To be included in the calculation, a sales entry must:

  • Have a Sales Date within the processing period.

  • Have a Sales Type matching the sales type configured for the lease.

Entries that do not meet both conditions are not included in that calculation.


Frequently Asked Questions

Which Leases Are Available?

Only current leases associated with the selected property are available for selection.

Which Units And Tenants Can I Select?

After selecting a lease, the available units and tenants are limited to those associated with that lease.

Can I Change The Sales Category?

No. Sales Category is currently set to Total and is not editable.

Can I Enter A Negative Sales Volume?

No. Sales Volume must be zero or greater.

Which Sales Entries Are Used For Percentage Rent?

SIRE uses entries whose Sales Date is within the processing period and whose Sales Type matches the sales type configured for the lease.

Can I Create A New Entry From An Existing One?

Yes. Use the duplicate action on an existing entry, review the copied information, and save it as a new Sales Entry.
