Activating a Lease

Overview

Activating a lease changes its status from Future to Current and records the actual move-in information.

During activation, SIRE can also generate the initial recurring charges, calculate vacancy loss when configured, and update the occupancy information for each unit.


Access Lease Activation

Go to Tasks > Manage Leases > Leases.

Find the lease with Future status, go to the action menu and select Activate.

You can use the available filters to locate the lease, including:

  • Lease Name

  • Property

  • Unit

  • Tenant

  • Move In Date

  • Status


Basic Information

The activation screen displays read-only information for the selected lease:

  • Lease

  • Tenant

  • Last Scheduled Charges

Review this information before continuing.


Dates And Occupancy

Complete the activation information:

  • Actual Move In: The date the lease becomes active.

  • Vacancy Loss: Required when vacancy loss is enabled for the property. This date is used to calculate vacancy loss associated with the activation.

  • Occupancy Date: The date occupancy begins, when applicable.

The unit table also displays each unit associated with the lease.

For each unit:

  • Review the unit.

  • Review the previous rent and new current rent, when recurring charges exist.

  • Enter or confirm the Move In Date.

  • Mark the unit as Occupied when applicable.

Changing Actual Move In updates the move-in date shown for the units, which can be adjusted individually when necessary.


Charges Dates

When the lease has recurring charges, SIRE displays the charge dates for each unit, tenant, and item ID.

Review the proposed dates before generating charges.

These dates determine when the recurring charges begin after activation.


Why Charges Are Generated During Activation

Lease activation can be used to catch up on recurring charges that should have been generated before the lease became active.

When charges are generated during activation, SIRE reviews the recurring charges associated with the lease and creates the eligible charges for the applicable periods up to the activation dates. This helps bring the lease's billing history up to date without requiring users to create each missed charge manually.

The Charges Dates section shows the charge periods and dates that will be used for this catch-up process.

If Do Not Generate Charges is selected, the lease is activated without generating the catch-up charges. You can run Tasks > Manage Charges > Process Scheduled Charges later to process the eligible periods.


Preview Charges

When Do Not Generate Charges is not selected, select Preview Charges to review the charges that will be generated during activation.

Review the recurring charge items, dates, units, tenants, and amounts before activating the lease.


Do Not Generate Charges

Enable Do Not Generate Charges when you want to activate the lease without creating charges immediately.

When enabled:

  • The lease is still activated.

  • The lease status changes to Current.

  • Initial recurring charges are not generated during activation.

  • You can generate the charges later through Tasks > Manage Charges > Process Scheduled Charges.


Complete The Activation

After reviewing the information, select Activate.

SIRE:

  • Validates the activation information.

  • Confirms that the lease tenants are active.

  • Generates the previewed charges unless Do Not Generate Charges is enabled.

  • Records the actual move-in date.

  • Updates the unit move-in information.

  • Changes the lease status to Current.

  • Updates occupancy-related information.

A notification is displayed when charge generation is processed.


Validation Rules

  • The lease must be selected.

  • Actual Move In is required.

  • Units included in the activation must belong to the lease.

  • Tenants associated with the lease must be active.

  • Vacancy Loss is required when the property is configured to track vacancy loss.

  • Recurring charge dates must be valid when charges are generated.

Which Leases Can I Activate?

Leases with Future status can be activated.

What Happens When I Activate A Lease?

SIRE prevents activation until all tenants associated with the lease are active.

Yes. Select Preview Charges to review the charges that would be generated during activation.
