Missing Sales

1. Introduction

Purpose

The Missing Sales Report helps users identify months in which required lease sales have not been recorded.

It presents lease and overage information together with a 13-month status history so users can follow up on missing sales by property, lease, and reporting requirement.

Aggregation Level

The report is grouped by Property and displayed at the lease sales-requirement level.

Each detail row represents a lease and its associated:

  • unit

  • overage period

  • billing frequency

  • percentage item

  • required sales type

If a lease is associated with more than one unit in the result, the unit names may be combined in the Unit Name column.

2. How to Use the Report

Step 1 - Select Filters

Open the report and set the parameters in the following order:

  1. Property Name (multi-select)

  2. As of Date

  3. Lease Name (multi-select)

As of Date defaults to today and determines the month used as the starting point for the report.

The available Lease Name values depend on the selected properties and date. After changing Property Name or As of Date, review or refresh the Lease Name selections before running the report.

Step 2 - Run the Report

After selecting the filters, run or refresh the report.

Step 3 - Validate Header Information

At the top of the report, verify the following:

  • Missing Sales Report title

  • Property name shown for the current section

  • Execution date

Each property is displayed in its own grouped section.

Step 4 - Review the Table Output

The table includes the following fixed columns:

  • Lease Name

  • Unit Name

  • Total Sq. Ft.

  • Overage Start Date

  • Overage End Date

  • Billing Frequency [M]

  • Percentage Item Id

  • Type Required

These columns are followed by 13 abbreviated month columns.

The first month is the month containing the selected As of Date. The remaining columns move backward through the previous 12 months.

Step 5 - Interpret the Monthly Status Values

The monthly columns display status indicators rather than sales amounts.

Interpret the values as follows:

  • * - required sales are missing

  • CER - the recorded sales total for the month is greater than zero

  • Blank - sales are not required for that month because it falls outside the configured overage period

  • Not_end - an Overage End Date is not configured

Expected Display

  • Results are grouped by Property

  • Each row shows the lease configuration and its monthly sales-reporting status

  • The monthly columns do not display sales amounts

  • Changing As of Date shifts the entire 13-month review window

  • Selecting fewer properties or leases narrows the result set

  • A lease can appear on more than one row when it has multiple sales requirements

3. Technical Explanation

Monthly Review Window

The report evaluates the full month containing the selected As of Date and the 12 full calendar months before it.

The specific day selected within As of Date does not change the month boundaries used for the status columns.

Month headings use three-letter month abbreviations and are arranged from the selected month backward.

Because the review window contains 13 months, the same month abbreviation can appear at both ends of the table for two different years.

Monthly Status Behavior

For each displayed row and month:

  • CER appears when the recorded monthly sales total is greater than zero

  • * appears when the month is within the overage period and the recorded monthly total is zero or less

  • A blank appears when the month is before the overage start month or after the overage end month

  • Not_end appears when no Overage End Date is configured

The overage start and end months are included in the required reporting period.

Table Structure

The property heading provides the grouping context.

The fixed columns identify the lease and the sales requirement being reviewed, while the 13 monthly columns show the reporting-status history for that row.

The table is designed to help users identify missing sales quickly while retaining the lease, unit, and overage configuration needed for follow-up.

Granularity Explanation

The report is displayed at the lease sales-requirement level.

This allows users to distinguish separate:

  • percentage items

  • required sales types

  • billing frequencies

  • overage periods

A lease can therefore appear on more than one row when multiple qualifying sales requirements are associated with it.

The report evaluates eligible leases represented by sales activity within the displayed window. A lease with no recorded sales activity anywhere in the entire 13-month window may not produce a detail row.

4. Troubleshooting

No Data Returned

Possible causes:

  • The selected Property Name or Lease Name values do not match available records

  • The selected As of Date does not cover the intended review period

  • The Lease Name selections were not refreshed after changing the property or date

  • The current filter combination is too restrictive

Possible fixes:

  • Confirm that Property Name and Lease Name contain the intended selections

  • Verify that As of Date covers the period you want to review

  • Select the properties and date first, then refresh or reopen Lease Name

  • Broaden the property or lease selections and rerun the report

Expected Lease Is Missing

Possible causes:

  • The lease is not available for the selected property and date

  • The lease overage period does not overlap the displayed 13-month window

  • The lease has no recorded sales activity anywhere within the review window

Possible fixes:

  • Confirm that the lease belongs to the selected property

  • Check whether the overage period overlaps the displayed months

  • Confirm that the lease has recorded sales activity somewhere within the 13-month window

  • Broaden the lease selection and rerun the report

An Asterisk Appears Despite a Sales Entry

Possible cause:

  • The monthly status is based on the total recorded sales amount for the month, not only on whether a sales entry exists

Possible fix:

  • Review all sales records for the month and confirm that their combined total is greater than zero

Blank Monthly Status

A blank monthly status can be valid.

It indicates that the month falls outside the configured Overage Start Date and Overage End Date for that row.

Review the overage dates before treating a blank status as missing data.

Not_end Appears

Possible cause:

  • An Overage End Date is not configured for the row

Possible fixes:

  • Review the row's Overage End Date

  • Confirm the lease's overage setup

  • Update the source configuration if required and rerun the report

5. Customization

Possible enhancements for this report include:

Month Display Enhancements

  • Adding the year to each month heading

  • Changing the default review month

  • Expanding or reducing the review time horizon

Status and Summary Enhancements

  • Highlighting * statuses for faster review

  • Adding counts of missing months by property

  • Adding counts of missing months by lease

  • Adding summary indicators for leases with repeated missing sales

Field and Layout Enhancements

  • Adding or reordering lease, unit, tenant, or overage context columns

  • Changing property or lease grouping

  • Adjusting export formatting for follow-up workflows

These modifications can be requested as a report customization through the customer portal.
