1. Introduction
Purpose
The Summarized Rent Roll report helps users review current occupancy and charge information in a summarized rent roll format. It combines property-level occupancy metrics with unit and lease-level financial details so users can quickly understand the current rent position of a property.
Aggregation Level
This report is primarily presented at the property level, with supporting unit and lease detail beneath each property.
It is designed to show current tenants, unit status, square footage, rent charges, other charges, deposit balance, and annualized rent measures as of a selected date.
For the parent entity aggregation version of this report, the same rent roll information is summarized one level higher. Instead of starting from each property independently, the report first groups results at the entity level and then shows the related properties, units, and lease details within that entity.

-

-
Each property section includes summary metrics and supporting unit and lease detail
-
The report reflects the current occupancy and charge position as of the selected As of Date
-
Detail rows help explain the totals shown in the property summary area
Note: The charge amounts in the detail table are calculated using both annual and monthly equivalents. However, in the summary metrics at the top (company level), charges are categorized into three specific frequencies and are only counted in their corresponding metric (e.g., quarterly).
3. Technical Explanation
Date and Filter Behavior
This report provides a point-in-time summarized rent roll based on the selected As of Date.
It does not show historical changes over multiple periods. Instead, it shows the current occupancy and charge position for the selected properties.
This report applies filtering using the following parameters:
-
Entity ID
-
Property Name
-
Unit Floorplan
-
As of Date
-
Month to Month
Table Structure
The report is structured at multiple levels so users can review:
-
property-level occupancy and financial totals
-
unit-level occupancy and square footage
-
lease and tenant-level financial detail
This layout is useful because rent roll review usually starts with a property summary and then moves into the units and finally the leases that explain those totals.
The summary metrics show occupied and vacant square footage, monthly and annual charges, and the current overall charge picture for the property.
The detail rows then show the tenants, dates, deposits, and annualized rent measures associated with each unit and lease.
Granularity Explanation
Because the report includes both occupancy measures and financial measures, it supports operational review, leasing review, and high-level financial validation in one output.
The property-level summary provides a quick view of overall performance, while the unit and lease detail helps explain exactly which records contribute to the totals.
4. Troubleshooting
No Data Returned
Possible causes:
-
The selected Property Name values are incorrect
-
The As of Date is not appropriate for the leases and units you expect to review
-
Filters such as Unit Floorplan or Month to Month are too restrictive
Possible fixes:
-
Confirm the selected Property Name values
-
Try a different As of Date
-
Remove optional filters and rerun the report
Expected Units or Tenants Are Missing
Possible causes:
-
The units do not belong to the selected properties
-
The selected date does not fall within the period you want to review
-
A current filter selection excludes the expected record
Possible fixes:
-
Verify that the units belong to the selected properties
-
Confirm the selected date context
-
Re-run the report with fewer filters to identify which selection is excluding the record
Totals Seem Unexpected
Possible causes:
-
The difference originates in the detail rows for Rent Charges, Other Charges, or annualized amounts
Possible fixes:
-
Review the detail rows for the affected property
-
Compare the unit and lease rows with the property summary metrics to identify where the difference originates
Deposit Information Appears Incomplete
Possible causes:
-
Some leases may not have a deposit balance available in the report output
Possible fixes:
-
Confirm that you are reviewing the intended lease and date
-
Compare the lease details before treating the deposit value as final
