Lease Abstract Extended

1. Purpose

The Lease Abstract Extended report adds two sections to the original report: Recoveries or Utilities.

2. New Sections

The extended version of the lease abstract includes Recoveries and Utilities to provide a broader lease administration view.

The Recoveries section adds operational and financial detail related to recovery setup, while the Utilities section adds unit-level utility context that is not included in the standard lease abstract.

These sections are useful when users need more than a summary of lease terms and charges and want to review the underlying administrative setup tied to the lease.

- Recoveries

If the lease includes recovery setup information, review the Recoveries section:

  • Item ID

  • Recovery Control ID

  • Manual Percent

  • Base Year

  • Base Amount

This section provides additional operational and financial detail about how recovery charges are configured for the lease.


It helps users review:

  • which Item ID is tied to the recovery

  • the related Recovery Control ID

  • whether a Manual Percent is being used

  • the applicable Base Year

  • the configured Base Amount

Use this section when validating lease recovery settings or reviewing how recoverable charges are structured for a specific lease.

- Utilities

If the lease includes utility-related information, review the Utilities section:

  • Unit Name

  • Utility Name

  • Description

This section provides utility detail associated with the lease and unit.

It helps users review:

  • which Unit Name the utility is associated with

  • the type of utility through Utility Name

  • any supporting detail shown in Description

Use this section when validating utility assignments or checking additional operational details tied to the lease.

3. Troubleshooting

Some Extended Sections Appear Blank

Possible causes:

  • A lease may not have recoveries or utilities information available in the report output

Possible fixes:

  • Confirm that you are reviewing the intended lease

  • Keep in mind that blank sections do not always indicate an error and may simply mean that no information exists for that topic

4. Customization

Common enhancement requests for this report include:

Section Enhancements

  • Expanding recovery detail

  • Expanding utility detail

  • Adding more lease administration fields related to operational review

Field Customization

  • Add or remove displayed columns

  • Rename column headers to match internal terminology

  • Reorder columns to support operational workflows

Filter and Date Behavior

  • Change default From Date and To Date behavior

  • Add new user filters

  • Adjust how boundary dates are handled in the report logic

Presentation Enhancements

  • Add conditional highlights for clauses approaching expiration

  • Add summary sections such as counts by property or clause type

  • Add export-oriented formatting adjustments

 

These modifications may require changes to the underlying dataset queries or report configuration. They can be created by users (see how to create a new report) or requested as a report customization through the customer portal.
