1. Introduction
Purpose
The Summarized Rent Roll - Parent Entity Aggregation report helps users review current occupancy and charge information in a summarized rent roll format, with totals grouped first at the entity level.
It is intended for users who need a broader view across multiple properties that roll up under the same entity.
Aggregation Level
This report is presented at multiple levels.
It starts with entity-level aggregation, then shows the related property, unit, and lease detail within each entity.
This makes it useful for portfolio-style review where users want to understand the overall rent roll position before looking at the underlying properties.
2. How to Use the Report
Step 1 - Select Filters
Open the report and set the parameters in the following order:
-
Entity ID (multi-select)
-
Property Name (multi-select)
-
Unit Floorplan (optional if you want to narrow the output)
-
As of Date
-
Month to Month
Step 2 - Run the Report
After selecting the parameters, run or refresh the report.
Step 3 - Validate Header Information

-
Total Rent Charges
-

Within each entity, the report shows property and unit context such as:
-

-
Unit Name
-
Unit Status
-
Unit Sq. Ft.
-
% of Entity
Step 6 - Review the Lease and Tenant Detail Section
The lease and tenant detail area shows:

Expected Display
-
Results are grouped first by Entity ID
-
Each entity section includes summary metrics and supporting property, unit, and lease detail
-
The report reflects the current occupancy and charge position as of the selected As of Date
-
The percentage field is shown as % of Entity, not as a property-based percentage
3. Technical Explanation
Date and Filter Behavior
This report provides a point-in-time summarized rent roll based on the selected As of Date.
It does not show period-over-period history. Instead, it shows the current occupancy and charge position for the selected portfolio, starting at the entity level.
This report applies filtering using the following parameters:
-
Entity ID
-
Property Name
-
Unit Floorplan
-
As of Date
-
Month to Month
Table Structure
The key difference from the standard summarized rent roll is the aggregation level.
In this version, the report first groups results by Entity ID. Property detail is then displayed within each entity, followed by unit and lease detail.
The report is structured so users can review:
-
entity-level occupancy and financial totals
-
property detail within each entity
-
unit-level occupancy and square footage
-
lease and tenant-level financial detail
Granularity Explanation
The percentage field in this version is shown as % of Entity, which means each unit's square footage contribution is measured against the entity total rather than against a single property total.
This is the main interpretation change users should keep in mind when comparing this version to the standard summarized rent roll.
The entity-level summary provides a broader roll-up view, while the property, unit, and lease detail helps explain exactly which records contribute to the totals.
4. Troubleshooting
No Data Returned
Possible causes:
-
The selected Entity ID and Property Name values are incorrect
-
The As of Date is not appropriate for the leases and units you expect to review
-
Filters such as Unit Floorplan or Month to Month are too restrictive
Possible fixes:
-
Confirm the selected Entity ID and Property Name values
-
Try a different As of Date
-
Remove optional filters and rerun the report
Expected Properties or Units Are Missing
Possible causes:
-
The properties do not belong to the selected entity
-
The selected date does not fall within the period you want to review
-
A current filter selection excludes the expected record
Possible fixes:
-
Verify that the properties belong to the selected entity
-
Confirm the selected date context
-
Re-run the report with fewer filters to determine which selection is excluding the record
Totals Seem Different from the Standard Summarized Rent Roll
Possible causes:
-
You are comparing entity-level totals with property-level totals
-
% of Entity is calculated against the broader entity total, so percentages will not match the property-based version
Possible fixes:
-
Confirm whether you are reviewing entity-level totals or property-level detail
-
Keep in mind how % of Entity is calculated when interpreting results
Deposit Information Appears Incomplete
Possible causes:
-
Some leases may not have a deposit balance available in the report output
Possible fixes:
-
Confirm that you are reviewing the intended lease and date
-
Compare the lease details before treating the deposit value as final
